Beyond AEP: The Independent Agent’s Year-Round Marketing Calendar

Most agents concentrate their marketing energy into the fall enrollment window. The ones who grow steadily — retaining clients consistently and entering every AEP with a full pipeline — treat marketing as a year-round business function.

It doesn’t require working harder. It requires working with a plan.

A Month-by-Month Framework

January: Reconnect after AEP. Your clients just made coverage decisions. This is the time to confirm enrollments, check in on satisfaction, and introduce yourself to any new clients properly. A simple check-in email goes a long way.

February: OEP outreach. Medicare Advantage Open Enrollment runs January 1 through March 31. Clients who are unhappy with their AEP selection can make one change. A simple, compliant email or call reminding clients this window exists positions you as an advocate, not just an enrollment agent.

March: Review and refresh. Audit your website, your Google Business Profile, and your marketing materials. Update anything that’s outdated. Plant content now — a blog post published in March starts building search visibility by summer.

April & May: Community and relationship building. Host an educational workshop. Attend a local senior center event. Ask your happiest clients for a review. These are lower-urgency months — perfect for the relationship-building activities that pay off later.

June: T65 targeting. People turning 65 in October and November — right at the start of their Medicare Initial Enrollment Period — are starting to research now. Educational content, local outreach, and community events aimed at the turning-65 demographic in June plant seeds that bloom through fall.

July: Content and campaign prep. Draft your AEP email sequences. Plan your fall workshop schedule. Secure your venues. Refresh your website for the coming season. Your best AEP starts this summer, not in October.

August: AEP warmup. Start communicating with your existing book of business. A “before AEP” check-in — “Things are changing in the plan landscape this year, let’s make sure your coverage still makes sense” — opens the conversation before your competitors do.

September: Final prep and rest. By September, your campaigns should be ready to go. Your workshops should be scheduled and promoted. Your website should be current. If you’ve done the work, September is when you catch your breath before the season starts — not when you panic.

October & November: AEP execution. Run your workshops. Work your calendar. Execute the campaigns you planned. Respond quickly. This is the payoff for everything that came before.

December: Wrap and reflect. Close out enrollments. Follow up with pending leads. And before the calendar turns, document what worked, what didn’t, and what you’ll do differently next year.

The Key Insight: Consistency Beats Intensity

You don’t need to do everything on this calendar perfectly. You need to do something every month. A single consistent touchpoint — one monthly client newsletter, two social posts, one local event — maintained across twelve months builds more business than a frantic six-week AEP blitz ever will.

The agents who understand this don’t dread AEP. They welcome it, because they’ve spent all year preparing for it.
